Privacy Policy

Scope and responsibility

Bulk Translate is responsible for handling the personal information described in this Privacy Policy. This Policy applies to the Bulk Translate website, accounts, spreadsheet translation workflow, credit purchases, and support features.

This Policy does not govern third-party websites or services that operate under their own privacy policies, including hosted payment or translation services.

Information we collect

Bulk Translate collects information you provide directly, information collected automatically when you use the service, information contained in files you choose to upload, and limited information received from service providers such as Stripe and Resend.

• Account and profile information, including your name, email address, authentication credentials, account dates, account status, credit balance, settings, and profile-name change history.
• Email and account-security records used for verification, password resets, service messages, and fraud prevention, including delivery metadata, IP address, browser or device information, expiration dates, and use dates.
• Payment and billing records, including the purchased credit pack, amount, currency, payment status, credits added, and Stripe checkout, payment, customer, and event identifiers. Bulk Translate does not store full payment card numbers.
• Support and feedback information, including request type, category, priority, subject, message, optional screenshot and file details, browser or device information, ticket status, and internal support notes.
• Usage, credit, and operational information, including selected model and provider, character and request counts, translated and failed cells, job status, elapsed time, token usage, estimated provider cost, credits estimated, and credits charged.
• Security information, including login attempts, IP address, user agent, device label, session activity and revocation dates, and administrative security records.

Uploaded files and translation content

When you upload a spreadsheet, Bulk Translate processes the file on the application server to identify sheets, columns, row counts, suggested text columns, selected columns, character counts, and estimated credits. The selected sheet may be held temporarily in application memory to preserve workbook structure, generate previews, retry failed cells, and create the downloadable workbook.

When you run a translation job, only the selected non-empty cell text is sent to the translation provider associated with the model you choose. Selected text is grouped into requests covering up to 10 spreadsheet rows, with cell identifiers to keep results aligned. Long text may be sent in smaller batches. The complete workbook is not sent to OpenAI by Bulk Translate.

Uploaded files, temporary job data, previews, retry data, and generated results are workflow data rather than long-term file storage. They are configured to become eligible for cleanup after approximately one hour and may remain until the next cleanup cycle or server restart. They may also be cleared sooner by deployments, restarts, or other operational events.

Bulk Translate is designed for spreadsheet translation workflows. Please do not upload payment card numbers, passwords, API keys, government IDs, protected health information, children's data, or other highly regulated information unless you have confirmed that Bulk Translate and the selected translation provider are appropriate for that use.

How we use information

Bulk Translate uses information to create and manage accounts, verify email addresses, authenticate users, secure sessions, inspect spreadsheets, estimate credits, provide translations, generate downloads, process and reconcile payments, deliver purchased credits, respond to support requests, investigate errors, prevent misuse and fraud, maintain business and accounting records, administer the service, and improve reliability and usability.

Bulk Translate does not use uploaded spreadsheet content to train its own models and does not use personal information to make automated decisions that produce legal or similarly significant effects.

Cookies and local storage

Bulk Translate uses a necessary session cookie to keep users signed in, maintain account security, and support account and translation features. Blocking required cookies may prevent login, checkout, translation, or account-security features from working correctly.

Bulk Translate uses browser local storage to remember interface preferences such as light or dark theme and the preferred translation model. These preferences remain in your browser until you clear them or replace them through the service.

Service providers and disclosures

Bulk Translate uses Render for application hosting, Supabase Postgres for database storage, Stripe for payments, Resend for account and support-notification emails, OpenAI API for Basic, Balanced, and Premium translations, and Google Fonts for website typography.

Resend may receive your name, email address, support category, priority, subject, message, and screenshot file details when Bulk Translate sends a support notification. The screenshot image itself is stored in the Bulk Translate database and is not attached to that notification email.

OpenAI receives the selected cell text and translation instructions for Basic, Balanced, and Premium jobs. Bulk Translate sets store=False on these requests so the generated response is not retained as Responses API application state. OpenAI may still temporarily retain prompt-cache data and, by default, separate abuse-monitoring logs for up to 30 days, with longer retention when required by law or reasonably necessary to protect its services or third parties from harm. Different provider data controls may also apply. Provider processing is also governed by each provider's own terms and privacy practices.

Stripe receives information needed to create and reconcile purchases and collects payment details directly. Render, Supabase, Resend, Google Fonts, and other infrastructure providers may receive ordinary technical information such as IP address, request metadata, and device or browser information when providing their services.

No sale, advertising, or cross-site tracking

Bulk Translate does not sell personal information, share personal information for cross-context behavioral advertising, or use personal information for targeted advertising. Bulk Translate does not currently use a separate advertising or analytics provider.

Because Bulk Translate does not track your activity across unaffiliated websites for targeted advertising, it does not currently respond differently to browser Do Not Track signals. Third-party services may collect information through their own websites, hosted checkout pages, fonts, or integrations under their own privacy policies.

Data retention and account closure

Temporary spreadsheet and result data follows the approximate cleanup process described above. Support messages and screenshots may be retained while an account remains active as needed to investigate and respond to the request. Account, payment, credit, usage, security, and administrative records are retained for as long as reasonably necessary for the purposes described in this Policy, including account operation, billing, fraud prevention, support, security, tax, accounting, legal compliance, and dispute resolution.

When you close your account, Bulk Translate deletes support messages and screenshots, profile-name history, active sessions, verification and reset records, and certain login-attempt records associated with the account. Bulk Translate disables the account, replaces or removes direct account identifiers, and removes remaining credits.

Bulk Translate retains de-identified or pseudonymized payment, credit, usage, translation-audit, and administrative records when reasonably necessary for accounting, fraud prevention, security, legal compliance, dispute resolution, and service integrity. These records may retain an internal user identifier and transaction or provider identifiers, so Bulk Translate does not describe them as fully anonymous.

Third-party providers, including Stripe and translation providers, may retain their own records under their legal, billing, security, and compliance requirements. Account closure does not delete exported workbooks already downloaded to your device.

Your privacy choices and rights

You may update certain profile information or permanently close your account through Account Settings. You may also request access to, correction of, or deletion of personal information by contacting Bulk Translate. Bulk Translate may need to verify your identity before completing a request and may retain information where permitted or required by law.

Depending on where you live, you may also have rights to receive a portable copy of information, restrict or object to certain processing, withdraw consent where processing is based on consent, appeal a denied request, or complain to a privacy regulator. Bulk Translate will not discriminate against you for exercising a privacy right protected by law.

You can choose not to upload sensitive files or optional support screenshots. You should upload only content that you are authorized to process through Bulk Translate and the selected translation provider.

Legal bases for processing

Where applicable law requires a legal basis, Bulk Translate processes personal information as needed to perform the service agreement, including managing accounts, translating selected content, providing downloads, and processing credit purchases; to comply with legal obligations, including tax, accounting, and lawful requests; and for legitimate interests such as securing the service, preventing fraud, providing support, maintaining records, and improving reliability. Bulk Translate relies on consent where it specifically requests consent for a particular use, and consent may be withdrawn where applicable.

Children's privacy

Bulk Translate is intended for adults and is not directed to anyone under 18. Bulk Translate does not knowingly collect personal information directly from children under 13. Do not create an account for anyone under 18 or upload children's personal information. If you believe a child has provided personal information, contact Bulk Translate so the information can be reviewed and removed where appropriate.

International processing

Bulk Translate and its service providers may process information in the United States and other locations where providers operate. If you use the service from outside the United States, information may be processed in a country with different privacy laws. International transfers are subject to applicable law and the transfer mechanisms used by the relevant provider. You may contact Bulk Translate for more information about provider locations and available safeguards.

Security

Bulk Translate uses reasonable administrative and technical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No internet service or storage system is perfectly secure, and Bulk Translate cannot guarantee absolute security.

Changes to this policy

Bulk Translate may update this Privacy Policy as the service, data practices, or legal requirements change. The updated Policy will be posted with a revised last-updated date. For material changes, Bulk Translate will provide additional notice through the service or by email before the change takes effect when required by law.
